Luxury Boutique Real Estate Firm in South Beach is seeking a polished, charismatic, outgoing and tech savvy Administrative Sales Assistant. Candidate will be the Sales Assistant to the #1 Independent Real Estate Agent in Miami Dade County.
Listing Management for Principal Broker
- Assist Principal Broker & Executive Sales Assistant with tasks
- Assist in Gathering All Listing Information Needed for MLS
- Assist in Updating/Maintaining Accurate MLS Listings
- Assist in Keeping Real Estate Signage Registry
- Updating/Maintaining Condo Association Registrations
- Insert All Inquiries, Showings, Showing Requests & Updates on Sales Activity Report
- Follow Up with All Showings for Feedback
- Maintain Constant Communication with Sellers to Update Them on Showings and Client Feedback
Transaction Management for Principal Broker
- Assist in Collecting All Completed Documents for File
- Schedule All Transaction Inspections
- Attend Inspections
- Take Notes During Inspections of Findings
- Assist with Maintaining All Current Transaction Critical Dates
- Assist with Obtaining All Current Transaction Condominium Documents
- Assist with All Current Transactions Furniture Inventories
Client Relationship Management for Principal Broker
- Manage CRM System
- Register All Agent & Client Follow Ups in CRM
Marketing for Principal Broker
- Schedule & Coordinate All Open Houses
- Send Agent/Client Follow Ups for Open Houses
- Send Weekly Reverse Prospecting Updates
- Work with Marketing Department to Achieve Sales Goals
- Scorecard Updates on Sales Activity Report
Office
- Assists in the Coordination of Office Events
- Opening/Closing the Office
- Maintaining a Clean Work Environment
Realtor
- Obtain and Maintain a Florida Sales Associate License
Other
- Assist with Coordinating Weekly Sales Meetings
- Send Follow Up Information to Clients & Prospects Post Client Presentations
- Back-Up Showings & Walkthroughs When Required
- Managing Principal Broker’s Schedule
- Schedule Principal Broker’s Showings
- Assist with Listing Presentation Preparation
- Assist Principal Broker with Comparative Market Analysis
- Prepare and Maintain All Off-Market Registrations
- Keep Principal Broker Informed of All MLS Market Updates
- Answering Phone & Emails
- Assist Principal Broker with Any Additional Tasks
Qualifications
- Active Florida Sales Associate or Brokers License
- Driver’s License
- Minimum 2 Years’ Experience in Real Estate
- English & Spanish (Written & Oral)
- MLS Experience
- Proficient with Adobe PDF & Microsoft Office (Excel proficiency is crucial)
- Strong Analytical Skills
- Strong Organizational Skills
- Bachelor’s Degree
- Confident and Dynamic Personality
